Arts in the Armed Forces (“Organization” “us,” “our,” and “we”) values your support and is committed to protecting your privacy. This statement (the “Online Privacy Policy”) sets forth our policies and practices for handling information collected from donors, program participants, constituents, anyone who uses our website or any online service that we operate, and anyone who otherwise electronically communicates with us (collectively, “you” and “your”).

Information you provide directly to us

For certain activities, such as when you subscribe to our Services or contact us directly, we may ask you to provide some or all of the following types of information:

  • Username and password;
  • Payment information used to conduct business with you;
  • Military service history; and
  • Information required to conduct a background check, including social security number.

Information we collect automatically

We may collect certain information automatically when you use our Services, such as your Internet protocol (IP) address and other device identifiers that are automatically assigned to your computer or device when you access the Internet, browser type, operating system, Internet service provider, the date and time of your visit, information about the links you click and pages you view within the Services, and other standard server log information.

Information we receive from a background check

If you apply for a competition that we host, we may conduct a background check to confirm your eligibility for such competition, including military service history.  We will only use the information received from the background check for purposes of confirming such eligibility.

Information collected on our behalf by third-party service providers

Certain pages on our Site may link to or embed tools or websites hosted or maintained by third-party service providers whom we have engaged to provide services related to the Service, for example payment processing.  To the extent these third-party service providers collect information from or about you, such collection would be governed by such third-party service providers’ privacy policies.  We recommend that you refer to the privacy policies linked by such third-party service providers.

Use of Information

We only use the information that we collect from you to conduct business with you in connection with the Services or as otherwise required by law.

We generally use the information we collect online to:

  • Fulfill your requests for Services and information;
  • Communicate and provide additional information that may be of interest to you about the Organization;
  • Send you reminders, technical notices, updates, support and administrative messages, marketing messages and requested information;
  • Operate, maintain and improve our Services, including through analysis of user data;
  • Conduct background checks to confirm your eligibility for any competition that we may host that you may apply to;
  • Perform analytics and conduct user research; and

We will retain your information as needed to provide you with access to the Site, or content or Services that you request. We will retain your information as necessary to comply with our financial reporting purposes, resolve legal obligations and disputes, and enforce our agreements.

Authorized third-party service providers

We may share your information with third-party service providers that help us with specialized services, including, but not limited to, web and email hosting, services for payment processing, donation collection, email distribution, analytics, competition application submission, identity verification and background checks.

We may disclose information to respond to subpoenas, court orders, legal process, law enforcement requests, legal claims or government inquiries, and to protect and defend the rights, interests, safety, and security of the Organization, our affiliates, users, and/or the public.

In connection with a competition we host

If you apply for a competition we host, we may share your name and military association with the judges of the competition.  Additionally, if you become a finalist, we may share your name and military association in publications relating to the competition, including announcements of finalists and winners.

With your consent

We may share information for any other purposes disclosed to you at the time we collect the information or pursuant to your consent.

Except as otherwise set forth in this policy, or in any future request we may make for use of your personal information, the information you provide to us, which is not already publicly available, will not be shared with other users of our Services, except in aggregated summary.

Security

We use reasonable measures to help protect information from loss, theft, misuse and unauthorized access, disclosure, alteration and destruction. You should understand that no data storage system or transmission of data over the Internet or any other public network can be guaranteed to be 100 percent secure.

Some of the Services may contain links to content maintained by third parties that we do not control. We are not responsible for the privacy practices of these third parties, and we recommend that you visit the privacy policies of each website that you visit.
